Exhibitions Terms & Conditions

Fulfilment Guidelines

Annual Virtual Passes

You will give us the names and email addresses of your attendees and we will grant access

Online Booth Space

You commit to providing engaging and high-quality content for your exhibitor pages.  Our guideline is that you include at least 5 data-rich charts and/or engaging product or prototype images.  Note that you need to keep a visitor in your booth for 30 seconds before we register them as a visitor.  We also recommend that you supply at least two downloadable files (PDF, JPEG, or EXCEL) to attach to your booth.

Logo

You agree to supply your logo with the sizes specified by the TechBlick team no later than 10 business days before the launch of the event. If the file is provided after this deadline, our team may not be able to upload it on time.

PDF of your talk and abstract

You agree to provide the slides for your LIVE talks at least 10 business days prior to the live broadcast so that our team can upload it onto the platform.  If the file is provided after this deadline, our team may not be able to upload it on time.

You agree to sign the data sharing agreement before we can share with you data such as visitor engagement data and contact details

​As part of this contract we will supply you with a data sharing agreement that defines our and your obligations with regards to handling the data including personal data which we may pass on to you as part of your exhibition agreement with us.

Tabletop

You will arrive early in the morning to set up your booth by 8:00 am local time on the first day of the event. We will layout the tables and ensure that you spot is clearly marked. We will also offer electricity, table, and 2 chairs.  The table tops are assigned on a first come first served bases at the time of the booking, and we will do our best to accommodate your wishes

Physical attendees

You will assign your 2 complementary attendees 3 weeks prior to the event so that we can give the required QR codes. You will do this by emailing us. Otherwise, they will not be able to receive their check-in QR codes.

Covid rule compliance

You will ensure that you staff comply with any COVID related rules in place at the time or imposed by us or the owners of the venue. This may include compliance with vaccination rules, with mask wearing, and with test requirements.

As part of this contract we will supply you with a data sharing agreement that defines our and your obligations with regards to handling the data including personal data which we may pass on to you as part of your exhibition agreement with us.

Tabletop

You will arrive at the designated time the evening before the event or at the very latest early in the morning to set up your booth by 7:45 am local time on the first day of the event. We will lay out the tables and ensure that your spot is clearly marked. We will also offer a table or highboy - as set out in the agreement-, and 2 chairs. The tabletops are assigned on a first come first served basis at the time of the booking, and we will do our best to accommodate your wishes

Physical attendees

You will assign your complementary attendees at the latest 3 weeks prior to the event so that we can give the required QR codes. You will do this by emailing us. Otherwise, they will not be able to receive their check-in QR codes.

Insurance

All exhibitors must carry valid public liability insurance to cover damage, injury, or loss caused by their participation, equipment, or staff.

Covid rule compliance

You will ensure that your staff comply with any COVID related rules in place at the time or imposed by us or the owners of the venue. This may include compliance with vaccination rules, with mask wearing, and with test requirements.

 

Terms and Conditions

 

“Event” refers to any conference, exhibition, or workshop (whether in-person, virtual, or hybrid) organized or co-organised by KGH Concepts GmbH, including but not limited to TechBlick, MicroLED Connect, and Future of Electronics RESHAPED, “Participant” or “Attendee” refers to any individual or organization attending or exhibiting at the Event.

 

/ Attendee and Exhibition Fees

The online annual passes include entry to our online event platform for a period of 12 months. The annual online/virtual exhibition and/or sponsorship fees also grant access for 12 months to the online platform.

Virtual annual passes/tickets grant annual access to a single individual and must not be shared with other persons, be they within or outside your organization. Our intelligent systems can identify misuse. If you require group tickets please contact us.

The hybrid annual passes include access to the online platform for a period of 12 months and grant access to the in-person physical show for 2 days. The fees do not include delegate travel and accommodation which remain the responsibility of the attendee.

Annual exhibition packages also belong to a single company and thus cannot be shared with others unless agreed with us in writing.

The hybrid exhibition package may include one or several complimentary passes to the physical event so that you can host your booth, network, and attend talks. These names can be given by you and exchanged until three weeks prior to the event. These may also include speaker passes.

The hybrid exhibition packages include a table and 2 chairs. Electricity, TV and other items must be separately ordered.

The packages (hybrid and/or virtual) are for the stated company only, and can not be shared unless agreed in writing. Please ensure you observe this rule to avoid embarrassment onsite, as any unauthorised branding or company presence must be removed upon request, with immediate effect. We reserve the right to bill your company the value of the additional company’s participation if their presence is not removed.

If you would like to share your stand with other organisations, please let us know and we will provide a group rate.

There will be no retrospective discount if a discount code is not provided at the time of booking.

 

/ Payment Terms

  • All fees associated with attendee participation at the virtual event are due in full at the time of booking unless otherwise agreed in writing.

  • The payment terms for exhibition packages (hybrid and virtual only) are due two weeks from invoice unless otherwise agreed in the contract. The payment currency is Euros.

  • Invoices not paid within the specified terms are subject to 2.5% plus EURIBOR monthly late penalty charge. This can only be waived by agreement.

  • If, for any reason, full payment has not been received in advance, you will be required to settle your account before being granted access to the Event.

  • For the avoidance of doubt, you shall not be permitted entry to the online platform and/or event unless full payment has been received by us.

 

/ Attendee and exhibition cancellations

Fees for online access as part of a virtual only or a hybrid exhibition package or an attendee package or annual pass are non- refundable. In the case of hybrid tickets only (not exhibition), a partial cancellation is possible. When canceled three, two, and one months in advance you will receive 80%, 70%, and 50% refund. No cancellations within the last month are possible. No cancellation of the exhibition packages are allowed unless agreed with your account manager in writing.

 

/ Attendee Substitutions

Online tickets can be transferred to another person within your organization prior to logging into our platform. Once you have logged in, the tickets will become non-transferrable. You can however add additional persons at our group ticket rates. If you are an online exhibitor, attendees may be transferred only after prior agreement with KGH Concepts GmbH.

Physical tickets can be exchanged at no cost within the same organization up to 2 weeks prior to the event.

/ Demo session

KGH Concepts GmbH events including MicroLED Connect or TechBlick or Future of Electronics RESHAPED events may feature live demonstration features that include an inherent risk, however small or well-mitigated. Participation in these features is voluntary, however, by registering for the conference you acknowledge that you agree to the following waiver www.TechBlick.com/demowaiver (this waiver is for all KGH Concepts GmbH events).

 

/ Newsletter and promotion

TechBlick, on behalf of KGH Concepts GmbH, needs the contact information you provide to us (all members included) to update you with conference and industry news in this sector. You may unsubscribe from these communications at any time. The information may also be shared with co-organizing companies (as stated on website)

 

/ Passing your details to online platform providers

KGH Concepts GmbH needs the pass and upload your information (all members included) to our partners providing our online event tools. Our partner companies will have their own privacy policies. Please visit their site. By signing up, you agree to have your details passed to our third-party online event and webinar providers. This is essential to deliver our service. In cases where the event is jointly organized with another party, your contact details may be shared but only to the extent necessary to perform tasks related to the provision of the event as well as contracted services.

 

/ Passing your contact details to our exhibitors

By participating in our events you agree to having your contact details and the contact details of your members passed onto our partners and exhibitors whose content you interact with, including but not limited to viewing video of their talks or sponsored talks or sessions, video demos, downloading documents, expressing interest, visiting their booth, and commenting. They may promote similar products and services related to your area of interest subject to their privacy policy. Please note all partners and exhibitors agree to adhere to electronic communication standards by providing opt-out features when making contact. Partner and sponsor hosted and/or sponsored sessions may include roundtables, virtual demos, and scheduled presentation sessions.

/Liability

KGH Concepts GmbH (trading as TechBlick) does not accept liability for any loss of or damage to personal effects of delegates, exhibitors, or attendees at any of its events (including but not limited to TechBlick, MicroLED Connect, and Future of Electronics RESHAPED).

 

You shall comply with all applicable laws, regulations, and venue rules in connection with your participation in any KGH Concepts GmbH event (whether virtual, hybrid, or in-person). You agree to indemnify, defend (at your own expense), and hold harmless KGH Concepts GmbH, its directors, officers, employees, agents and consultants and sub-contractors, and partners from and against any and all losses, liabilities, claims, demands, damages, costs, and expenses (including reasonable legal fees) arising from:

 

  • any breach of these Terms and Conditions by you, your employees, contractors, or agents;

 

  • any violation of law, regulation, or venue policy;

 

  • any damage to persons or property caused by your actions, equipment, or materials;

 

  • any misuse or unauthorised sharing of login credentials or access to the platform;

 

  • any third-party claims resulting from your content, conduct, or participation in the event.

You are solely responsible for obtaining and maintaining adequate insurance to cover any liabilities arising from your participation, including coverage for property, liability, travel, and health risks.

 

Our total aggregate liability to you, whether in contract, tort (including negligence), or otherwise, shall not exceed the total fees actually paid by you for participation in the relevant Event (i.e., your Exhibition Package, Delegate Ticket, or Annual Pass).

 

To the fullest extent permitted by law, KGH Concepts GmbH shall not be liable for:

 

  • any indirect, incidental, consequential, or special damages loss, costs, claims or expenses of any kind;

  • any loss of profit, data, reputation or goodwill, anticipated savings, or business opportunity;

 

  • any delay, disruption, or failure caused by force majeure events beyond our reasonable control (including but not limited to natural disasters, pandemics, strikes, war, or technical failures).

 

 

This limitation and indemnity shall survive the termination or completion of your participation in the Event.

 

/ Visa

All attendees requiring visas may request a visa invitation letter from KGH Concepts GmbH (tda TechBlick) at the time of booking; you must ensure that sufficient time is given for applications to be completed. KGH Concepts GmbH. cannot be held liable for any costs associated with visa applications or subsequent costs incurred by you due to unsuccessful visa applications.

 

/ Data Security

Credit card details and personal information is stored using a secure internet link using SSL (Secure Socket Layer) encryption; any personal information entered or uploaded during the registration process will remain confidential. We utilize third party payment handling providers such as Wix, Stripe, Alipay, Paypal, etc. KGH Concepts GmbH is not responsible for the performance, security, or availability of third-party services used for payment or data processing or online and onsite delivery of the Event.

While we take reasonable measures to maintain the security, functionality, and availability of our online platforms, KGH Concepts GmbH does not guarantee that the Event platform or its content will be secure or free from bugs, viruses, or other harmful components. It is your responsibility to configure your information technology, computer programs, and platform access securely and to use appropriate virus protection software.

 

/ Photos & Videos & Other Online and Onsite Content

KGH Concepts GmbH will make the presentations available on-demand unless otherwise agreed in writing. KGH Concepts GmbH may also use the content from the presentations, booth, social posts, or other content shared as part of your presence or activities in the online platform or in the physical events to write blogs, newsletters, market reports, and other such publicly available or paid-to-access documents. By purchasing a ticket and attending as well as by becoming a virtual or hybrid exhibitor or sponsor you consent to this use of the content that you share within the platform or present at the physical event. By uploading or sharing any materials (including but not limited to videos, presentations, logos, brochures, or other media) on the Event platform or presenting it at the event onsite or online, you confirm that you have all necessary rights and licenses to do so. You grant KGH Concepts GmbH a non-exclusive, worldwide, royalty-free license to use, reproduce, publish, and distribute such content solely for the purposes of delivering, promoting, and archiving the Event and making its content available on-demand. You retain all intellectual property rights in your materials. KGH Concepts GmbH will not use your uploaded content outside of the Event context without your prior written consent.

 

/ Trade Marks

We grant to you a non-transferable, non-exclusive, royalty-free licence to use the Event logos and trademarks (the “Event Marks”) provided to you solely to promote your participation at TechBlick events.

You grant to KGH Concepts GmbH a worldwide, non-exclusive, royalty-free, sub-licensable licence to use your logos and trademarks (the “Participant Marks”) to promote and exploit TechBlick events; and for a period of 24 months following the Event in any report produced about TechBlick events and in any promotional materials for similar events.

In the event that you change the Participant Marks at any time during the term, you agree that we shall not be obliged to make any consequential changes to materials that include the Participant Marks produced by us or on our behalf for or in connection with TechBlick events (including, but not limited to, reprinting promotional literature or publicity materials) unless you agree in writing in advance to meet the costs and expenses incurred by us arising from such change.

 

/ Obligations

KGH Concepts GmbH reserves the right to cancel, defer or otherwise modify the proceedings, agenda, speaker programmes, conference topics, number of talks, masterclasses themes and masterclass number without prior notice.

If for any reason, we are unable to deliver any of the benefits or features as previously advertised, we will inform you as soon as reasonably practicable. We may substitute alternative benefits in respect of the same Event or same content to an equivalent value of the relevant benefits without any liability to you.

You acknowledge and agree that you shall be solely responsible for all costs that you incur relating to your attendance at TechBlick online and in-person physical events as an annual pass holder or exhibitor (including, without limitation, any travel costs, the costs of any temporary staff and any costs relating to the exhibition content production, video production, transport of samples and machinery, and similar and all costs incurred by you in exercising the benefits and features of TechBlick events).

You shall promptly comply with all reasonable instructions and directions issued by or on behalf of us in connection with TechBlick and KGH Concepts GmbH’s events and its promotion (including, without limitation, any instructions or directions given in relation to the use of the venue at which the Event is being held). We shall not be responsible for any failure or delay in providing any of the benefits where such failure occurs directly or indirectly as a result of your failure or delay in complying with any of our reasonable instructions or directions.

KGH Concepts GmbH has the right to change event platform supplier at any time without any prior notice.

It is possible that in online or hybrid there will be connection problems, downtimes, or other similar challenges, both on our events, on the part of speakers or exhibitors, and on the part of event platform suppliers. In such cases, we assume no liability and responsibility.

 

/ Refunds in Case of Business Discontinuation

In the unlikely event that KGH Concepts GmbH voluntarily ceases operations and is no longer able to deliver any of its virtual services or onsite events,, including the online platform, you may request a partial refund as follows:

 

  • For virtual annual passes or virtual exhibition packages, you may request a pro-rata refund for the unused portion of your access.

  • For onsite (in-person) events, if the Event is cancelled by KGH Concepts GmbH and not due to force majeure, you will be entitled to a full refund of the onsite part of any fees paid for tickets or exhibition packages related to that specific Event. The online and onsite parts are treated as having equal weight.

 

To be eligible for a refund, you must:

 

  • Submit a written request within 30 calendar days of the cancellation or official cessation notice;

  • Provide proof of purchase and identify the product or Event in question;

  • Ensure that the Event or service is still within its originally valid access period at the time of cessation.

 

KGH Concepts GmbH reserves the right to review, verify, and approve or deny any such request at its sole discretion. Any approved refunds will be processed within a reasonable period.

 

KGH Concepts GmbH shall not be liable for any indirect or consequential losses, including travel, accommodation, or lost business opportunities.

 

No refunds or compensation will be provided in cases of force majeure, including but not limited to acts of God, natural disasters, epidemics or pandemics, strikes, governmental restrictions, or other circumstances beyond our reasonable control.

 

 

/ Cancellations and Force Majeur

In the event of partial or complete failure or delay in performing its obligations under this contract including cancellation of events as a result of an event or series of connected events outside the reasonable control of KGH Concepts GmbH (including, without limitation, acts of God, floods, lightning, storm, fire, explosion, war, military operations, pandemic or endemic like Covid or similar, acts or threats of terrorism, strike action, lock-outs or other industrial action or a pandemic, epidemic or other widespread illness , unexpected construction or construction work delays or other issues at the venue beyond control of KGH Concepts GmbH) no refunds will be given in respect of any cancellations. In case of failure of our selected third-party event software such as the streaming software or the event platform, KGH Concepts GmbH does not assume any liability and does not offer refunds. KGH Concepts will do its best and endeavor to substitute its software suppliers as soon as it reasonably can and to provide a content of similar value as judged by KGH Concepts GmbH.

/ Covid

In case social distancing rules are imposed and the event still goes ahead although at a reduced capacity, exhibitors will have priority over non-exhibitor attendees, and will retain their spot in so far as possible. In such cases where we are able to keep your exhibition spot, we will offer no refunds.

If the local or national authorities require or recommend, we may only allow vaccinated and recovered persons to enter the space in order to provide a safe environment for all our participants. We may therefore require proof of vaccination and/or recovery at the entrance. We reserve the right to refuse entry without refund. In case you book, and are unable to provide evidence, we will refuse entry and do not provide a refund. You will retain your annual online access to all our online events including to the online version of this event. Should the prevailing rules and guidelines given by the responsible authorities change, we will also update our guidelines accordingly

Note that the online pass will offer you access for 12 months to all live online events, to online masterclasses, and online library of state-of-the-art presentations.

As a participant you agree that we as the conference organizers have no liability and no responsibility whatsoever in case you become ill with Covid or any other disease during your stay for the conference/exhibition and during your participation. This applies even if we change our entrance policy to allow everyone in the venue including untested and unvaccinated persons. We strongly recommend that you take out your own personal health insurance.

 

/ Confidentiality

Each party shall treat in confidence all information obtained from the other pursuant to this Agreement that is confidential in nature (which shall include details of any Fees paid) and shall use such confidential information solely for the purpose of exercising its rights or performing its obligations under this Agreement.

 

/ Anti-Bribery

You warrant that you shall comply with all applicable laws, statutes and regulations relating to anti-bribery and anti-corruption; comply with such of our anti-bribery and anti-corruption policies as are notified to you from time to time; and promptly report to us any request or demand for any undue financial or other advantage of any kind received by or on behalf of you in connection with the performance of this contract. Breach of this clause shall be deemed a material breach of this contract.

/ Safety, Conduct, and Onsite Responsibilities

  • General Safety Requirements All participants, including exhibitors, attendees, contractors, and staff, must comply with the safety regulations imposed by the event venue, KGH Concepts GmbH, and local authorities. This includes adherence to fire safety, emergency exits, maximum occupancy rules, and any other published health and safety guidelines.
     

  • Exhibitor Responsibilities Exhibitors are solely responsible for the safety of their booth setup, equipment, promotional materials, and activities. All installations must be stable, secure, and comply with applicable laws and safety standards. No flammable materials, open flames, or hazardous substances may be used without prior written approval from the organizer and venue.
     

  • Demonstrations and Machinery Live demos involving machinery, chemicals, or any other technical components must be approved by the organizer in advance. Exhibitors must ensure all demos are supervised, risk-assessed, and carried out in a way that protects the safety of all attendees and staff. KGH Concepts GmbH reserves the right to halt any activity deemed unsafe.
     

  • Injury or Incident Reporting Any accident, injury, or potentially dangerous situation must be reported immediately to a member of KGH Concepts GmbH staff or the venue’s safety personnel. Participating members of the exhibiting company are advised to carry personal health insurance.
     

  • Children and Minors For safety reasons, no minors under the age of 16 are allowed in the exhibition hall during build-up or breakdown periods. If minors attend during the event, they must be supervised at all times. KGH Concepts GmbH accepts no liability for incidents involving unsupervised minors.
     

  • Insurance and Risk Acknowledgement: All attendees at the physical event are strongly encouraged to obtain appropriate personal, liability, travel, and health insurance prior to attending. Attendance is at your own risk. KGH Concepts GmbH accepts no responsibility for injury, illness, theft, travel disruption, or personal property damage incurred during the Event, except in cases of gross negligence or willful misconduct. You acknowledge that by attending the Event in person, you voluntarily assume all associated risks.
     

  • Insurance:  All exhibitors must carry valid public liability insurance to cover damage, injury, or loss caused by their participation, equipment, or staff. KGH Concepts GmbH and its staff, directors, agents, subcontracts and consultants, and the venue shall not be held responsible for theft, damage, or loss of property or injury caused by third parties or force majeure.
     

  • Alcohol Consumption Alcoholic beverages may be served at some portions of the Event. Attendees consuming alcohol must do so responsibly and in accordance with local laws. KGH Concepts GmbH accepts no responsibility for any injury, illness, conduct, or damages resulting from the consumption of alcohol. We reserve the right to refuse the service of alcohol to any participant and to remove anyone behaving inappropriately, without refund.
     

  • Medical Emergencies and First Aid: KGH Concepts GmbH does not provide onsite medical services. In the event of a medical emergency, it is your responsibility to seek assistance from local emergency services. Any first aid rendered by venue staff, third parties, or fellow attendees is done so voluntarily, and KGH Concepts GmbH assumes no liability for outcomes of such assistance.
     

  • Slips, Trips, and Falls: You acknowledge that by attending the in-person event, you may be exposed to common venue hazards such as cables, temporary structures, or uneven surfaces. You agree to exercise reasonable caution and understand that KGH Concepts GmbH accepts no liability for injuries from slips, trips, or falls unless caused by our gross negligence.
     

  • Crowd-Related Incidents: You are responsible for your own conduct during the Event. KGH Concepts GmbH shall not be liable for any injuries or harm arising from crowd movement, pushing, or other attendee actions unless directly caused by our gross negligence or failure to implement reasonable safety measures.

  • Live demonstrations: TechBlick events may feature live demonstration features that include an inherent risk, however small or well-mitigated. Participation in these features is voluntary, however, by registering for the conference you acknowledge that you agree to the following waiver www.TechBlick.com/demowaiver
     

/Code of Conduct / Behaviour Policy

All participants (attendees, exhibitors, sponsors, staff) are expected to behave professionally and respectfully. We reserve the right to refuse or revoke access to the Event or online platform without refund in cases of disruptive, inappropriate, or abusive behaviour, including online harassment, discrimination, or unauthorized promotion.

 

/Photography, Recording & Intellectual Property

All event content, logos, presentations, and materials remain the intellectual property of KGH Concepts GmbH and the respective speakers,and may not be used, republished, or modified without written permission.Unauthorized photography, video or audio recording of any kind is strictly prohibited without prior written consent. Making short videos for marketing purposes is allowed

/Sponsor & Exhibitor Deliverables Responsibility

Exhibitors and sponsors are solely responsible for ensuring timely delivery of their marketing assets, booth content, and any other agreed deliverables. KGH Concepts GmbH will not be liable for any delay or failure in showcasing sponsor content if assets are not received by the communicated deadlines.

/ Exclusion of Warranties

To the maximum extent permitted by applicable law, all conditions, warranties, representations or other terms which might otherwise be implied into these Terms and Conditions or any collateral contract (whether by statute, common law or otherwise) are hereby excluded, including but not limited to any implied warranties of fitness for a particular purpose, accuracy, or availability.

/Termination Clause

We reserve the right to revoke access or terminate this agreement with immediate effect if you materially breach any term of these Terms and Conditions or act in a way that, in our sole discretion, harms the integrity, reputation, or safe operation of the Event.

 

In the event that KGH Concepts GmbH cancels the Event for reasons other than force majeure, you will be entitled to a full or partial refund corresponding to the unfulfilled portion of the onsite part of your participation or access, at the sole discretion of KGH Concepts GmbH. To allocate value between onsite and online parts, we assume equal value. No further compensation shall be payable

/No Partnership

Nothing in these Terms shall be deemed to constitute a partnership, joint venture, or agency relationship between the parties. You shall not hold yourself out as having authority to bind KGH Concepts GmbH

/ Assignment and Business Transfer

KGH Concepts GmbH reserves the right to assign, transfer, or novate any of its rights and obligations under these Terms and Conditions to any affiliated or successor entity, including in the event of a merger, acquisition, internal restructuring, or sale of assets or business operations, whether within or outside the European Union. By participating in or registering for the onsite or onsite events or platform as exhibitor, sponsor, or attendee/participant, you consent to such transfer, and agree that your agreement and relationship with KGH Concepts GmbH may be continued with any such successor entity.

 

You may not assign, transfer, or otherwise deal with any of your rights or obligations under these Terms without the prior written consent of KGH Concepts GmbH.

 

/ Entire Agreement
These Terms and Conditions, together with any registration or booking form and any expressly incorporated attachments, constitute the entire agreement between the parties and supersede all prior discussions, emails, or understandings.

 

/Severability Clause

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

 

/ Survival
